Overview

The Data Collector block is for tracking and recording the collection process of a request. It works by integrating the Business Process feature with a Workflow, providing an audit trail for any data uploaded to a box.

This step provides the basis of the Record of Processing Activity (ROPA) document that can be generated during the disclosure stage.

Configuration

Note: to use the Data Collector step you must first have a Business Process set up.

Data Collector configuration is decided during the workflow template set-up. When inserting the block into a template you will be required to select an existing Business Process to use. The process will then appear during any tickets with this workflow template applied.

How to Use

(1) Select data

  • The business process and data source selected during template creation will be displayed.

  • Click the upload icon to the right of your data source(s) to launch the import window.

  • Click "Import" to open you file explorer, navigate to the file(s) you wish to import and click "Open".

  • Imports are tracked and displayed at the bottom of the page for review at any time.

(2) Configure search

  • Enter search queries that:
    • have been performed on the data already for recording purposes.
    • are to be used in a Connector import query.

(3) Import data

  • Click "Collect" to confirm your import.

  • Any imported files will be uploaded to the box and begin processing.

  • Click "Next" in the ticket to advance to the next stage.
