Overview
The Disclosure block is a unique step in Workflows designed to securely share files. It consists of three stages:
(1) Packing: Import data into the ticket and prepare it for sending.
(2) Send: Share the data with the requester by emailing a link to a secure download web page.
(3) Delivered: Review a summary of the ticket and the disclosed data.
Using the Disclosure step
(1) Packing
1. Select the data you want to import into the ticket using the “Include” options (click here for more information on export options). 2. Click “Import” to load these files into the ticket. Once complete, the files will appear on the right-hand side under “Pack it up”. | |
3. Review the files one last time before disclosing. If changes are needed, reconfigure the previous step and re-import the data as many times as necessary. Once satisfied with the selections, click “Pack” to prepare for sending. Note: A box can only be packed if there is no ongoing process on it. If data is being processed or redacted, please wait until it is complete. |
(2) Send
4. You will then proceed to the Send stage, where the disclosure email template will be displayed. Make any final changes to the email content if required. Once ready, click “Send” to trigger the email. 5. The “Tracking progress” element can be reviewed at any time to monitor the progress of the data send. It shows when the email was sent, if and when the link has been visited, and whether the data has been downloaded. |
(3) Delivered6. Once the disclosure is complete, the “Delivered” page will become available. This page provides a review of the completed ticket, including the steps taken and when events occurred. |
Data download
When the recipient of the web form email clicks the link, they will be taken to a secure HTTPS page that looks like this:
Clicking “Download” begins the process, and the user will receive a zip file containing the sent documents on their device.
Note: the zip file inherits the name of the ticket e.g. "000005 Joe Bloggs DSAR.zip"
