What are Dictionaries?


Dictionaries are lists of terms that you want to ensure are picked up during analysis. These may include things such as project names, organisation-specific acronyms, and other terms that are sensitive but may not necessarily be identified by the default analysis.


These can be included in your default analysis or used on a Box by Box basis.




Where are Dictionaries?


From the drop-down navigation menu hover over Settings > Smartbox.ai and select Dictionaries





Dictionaries home


The Dictionaries home displays the list of dictionaries that currently exist in your account.


From here you can use the icons on the right-hand side to Edit, Delete or Create new dictionaries.


Click on a Dictionary to open and manage it.





Create a new Dictionary


From Dictionaries home click the Create new dictionary button on the right-hand side.


Enter a name (and description) for the dictionary and click Create.



The easiest way to populate a dictionary is to upload a .CSV file from your desktop by clicking the Import button on the right-hand side. Attached at the bottom of the page a dictionary template that you can upload and use.


PS: make sure that there are no duplicates in the sheets and that your keep the header "term"


Please note that each term can be up to a maximum of 255 characters.



You can add terms to an existing dictionary from Smartview:


  1. Text select the term that you want to add to the dictionary
  2. Click on the "+" button next to the term on the left hand-side
  3. Select the desired dictionary and click on "Create"



PS: adding a term to a dictionary from Smartview will not automatically redact this term in other files within the same box. 


If you would like the new added terms to be picked up by the AI for an already processed/analysed box, you will need to go to your box's settings > AI configuration and click on the "Run AI search" at the top of the page.



Edit an existing Dictionary


Click on a Dictionary to open it.


From within a dictionary you can select terms to delete, import new terms, or export the list using the buttons in the navigation.



To add a term to an existing dictionary from the "Redact" tab:


  1. - Click the + button located at the top right corner
  2. - Enter your term and press Enter
  3. - Select the dictionary and press Enter
